Clothing sample approval: what to confirm before bulk
Use a written approval record to reduce avoidable changes during production.
In this guide

Identify the version you are reviewing
Record style code, sample date, revision, material and base size. Keep the matching tech pack and artwork files with the sample. List any substitute material or temporary trim so it cannot be mistaken for the final standard.
Measure and try the garment
Measure the agreed points using the agreed method and compare them with the chart. Then assess movement, balance and comfort on the intended fit. Photos should show both the issue and the measurement where relevant.
Separate approvals from changes
Make a numbered list of approved details, required changes and open questions. Avoid sending conflicting comments across multiple chats. State the requested result and whether another sample is required to confirm it.
Confirm the full production specification
Approve materials, colors, measurements, tolerances, size grading, construction, artwork, trims, labels and packing. Agree required inspection and testing scope. A sample approval does not replace a complete order specification.
Close the commercial and delivery details
Confirm quantities by size and color, quotation, payment terms, delivery arrangement and agreed timing before bulk begins. Production and delivery schedules are confirmed individually; revisions or material changes can require a new plan.
Put the guide into practice.
Send your reference, target quantities and questions. Your brief does not need to have every answer on day one.
